Q: My passed BOK courses are entered in HISinONE, but not in my transcript of records. How can I have them entered there?

A: All BOK courses (internal and external) are initially recorded in HISinONE and entered in the transcript of records at the end of the semester. Please check your transcript of records regularly and, if necessary, contact the staff at the Examinations Office if courses are not visible in the transcript of records after the end of the semester.

Q: I would like to set a free attempt for a passed exam. What do I have to do?

A: Within the registration period, simply register again in Campus Management for the examination you have passed. There is NO separate form or application required for this.

Q: I have registered a free attempt for passed exams and have written a worse grade than in the first attempt, which grade counts for the certificate?

A: The better grade always counts. If you achieve a lower grade with the free attempt, the grade from the first attempt remains valid.

Q: How do I know when my Degree Certificate/Diploma is ready for collection/sending?

A: After all required ECTS have been obtained, your documents must be signed. You will receive an email from the Examinations Office as soon as the chair of the examination board and the dean have signed the documents. This normally takes 1-2 weeks.

Q: I have not received a confirmation of supervision for my thesis, what can I do?

A: If you have at least 3 rejections, you can have yourself assigned to an examiner via the Examination Office. To do this, submit the thesis registration form and note on it:

‘I request an assignment’.

Enclose the printouts of your cancellations.

You will then be assigned to the examiner who supervises the fewest theses. Your interests cannot be taken into consideration. Cancellation is not possible.

Q: What is the procedure for starting a thesis?

A: 1) You look for an examiner who will supervise your thesis

2) Print out the registration form on our website, fill it out (digitaly) and submit it to the Examination Office .

3) You will be admitted to the final thesis and the registration form will be forwarded to the examiner.

4) The examiner enters the topic agreed with you and sends it back to the Examination Office

5) There are 2 options for the official start of the processing time:

 a) The examiner enters a start date under the topic:

You will receive official confirmation by e-mail or by post of the topic with the processing period by post from the Examinations Office.

b) The examiner does not enter a start date:

Once the topic has been received by the Examinations Office, this is recorded in the system with the start and end of the processing period. You will receive an info mail and a letter by post informing you that you have been admitted to the final thesis with the topic, start and end date

Q: What is the assurance at the end of the B.Sc. / M.Sc. thesis?

A: The thesis ends with the declaration, which should have the following wording:

„I hereby declare that I have written this thesis without unauthorised assistance and without the use of aids other than those specified. I have labelled all passages taken verbatim or in spirit from publications as such. The submitted Bachelor's/Master's thesis has not been the subject of another examination procedure, neither in its entirety nor in significant parts. The electronic version of the submitted Bachelor's/Master's thesis is identical in content and formatting to the paper copy.“

This is followed by your signature.

Q: How do I hand in the thesis?

A: The thesis (two bound, signed copies and a digital version as PDF file) can be handed in

a) handed in at the office of the examination board during office hours

b) deposited in an unlabelled envelope in the mailbox of the office

c) or sent to the office by registered post (the date of the postmark is deemed to be the date of submission).

Q: How do I find out the grade of my thesis?

A: The students will receive an e-mail informing them that their grade can be viewed online. If you are no longer enrolled, you will receive an information letter to the last known address or, upon request, a current performance overview, just like the diploma and M.A. students.

Q: Has my thesis arrived at the Examination Office?

A: If the status has changed from AN (=registered) to E (=submitted) in the transcript of records, the thesis has been forwarded.

Q: I need a certified transcript of records, how do I get one?

A: Simply send an email to the Examinations Office (please state your degree programme and matriculation number) and we will send you a transcript of records with a verification code (certification) or come to one of our office hours and we will provide you with a certified transcript of records.

Q: I need certified copies of certificates for applications, where can I get them?

A: You can have up to 3 copies of your certificate notarised by the Examination Office. As we do not charge a fee for this service, it is required that students make the copies themselves. Therefore, simply come to the Examinations Office with the original certificate and the copies during one of the consultation hours.

The Examinations Office only notarises documents that have been issued by the Examinations Office! (No school leaving certificates or similar)

Otherwise, notarisations can usually be issued at any citizens' office upon presentation of the signed original documents and a fee. Please enquire at the town hall responsible for you.

Q: How can I change my address?

A: You can change your address in HISinOne:  https://campus.uni-freiburg.de

You can find instructions  here.

If you have any questions about changing your address, please contact the  Registration Center.
